Inclement Weather

Southwest Care Center to make every effort to reduce interruptions to patient access and care during times of severe inclement weather. Every effort will be made to maintain operations during these times when weather- related events may require modifications to our standard operations.


The overarching goal of the organization will be to maintain in-person clinic operations at full capacity. All
team members are expected to report to duty as assigned and as regularly scheduled unless a determination is made to the contrary. The below procedures will be deployed in the event of a delay, early closure, or full day closure due to severe weather-related events.


There will be no specified inclement weather pay and all team members who are unable to work as described within the procedures of this policy will use Paid Time Off (PTO), Executive Time Off (ETO), or Personal Leave (PL) for unworked hours. Employees are required to notify supervisor timely of absence, late arrival, or early departure in accordance with the SCC Time Off Plans including Healthy Workplaces Act Policy and Procedure.


• Notification to Team Members of Delay Opening, Early Closure, or Full Closure Due to Inclement Weather: Inclement weather determinations will be made by the Chief Executive Officer (CEO) or designee. All efforts
will be made to make the determination as early as possible (typically 6:30 am) with staff communication
provided. Communication will be provided to all staff via the following means: All staff email and a TEAMS
message on SCC General Chat. Additionally, early closures will be communicated to onsite team members by Clinic Managers or other supervisors directly.​​


• Department Contingency Plans: Each department/clinic is required to have a contingency plan for ensuring that the department/clinic remains operational in the event of inclement weather that creates a delay, early, or full closure. Contingency plans should include at a minimum:

  • Details to ensure that employees are prepared in advance to continue to provide patient

  • services and work remotely if applicable.

  • Clearly define which positions may be remotely conducted during an inclement weather

  • event and responsibilities if different than normal duties assigned. If a position is not

  • remote eligible for work during an inclement weather event, the contingency plan may

  • reassign a role if deemed needed and the employee is qualified to perform the function.

  • Outline necessary communication to employees, patients, partners to ensure functioning

  • operations if different than typical practice.

  • Identifies reduced staffing plan in the event of large volume callouts.

  • Identifies notifications designee when employee is unable to work during an inclement

  • weather event.

  • Ensures employees are directed to be in attendance for the 8:00 am huddle.

  • Ensures that all employees within department are trained to the contingency plan in

  • advance of an inclement weather event.

• Employee Notification to Supervisor and Timekeeping during Inclement Weather:  Weather impact can
vary by individual employee (i.e., remote work unavailability, school closings, great impact at employee’s
residence). If an employee is impacted by a weather event and unable to follow the determination for the
inclement weather event—delayed, early closure, or full closure—the employee will:

  • Ensure timely notification to supervisor or designee of delayed arrival, early departure, or full absence. Notification should follow the SCC policy and procedure SCC Time Off Plans including Healthy Workplaces Act Policy and Procedure. Failure to properly notify may result in disciplinary action.

  • Ensure timecard accurately reflects only those hours worked and/or reflects Paid Time Off,

  • Executive Time Off, or Personal Leave Day for unworked hours. No pay or compensatory time will

  • be given for unworked hours during an inclement weather event.
